What is “Personal Information?”
Personal information is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual. The Condo Owners Association recognizes their commitment and obligation not to release private information of any condo owner/s and/or member of the public who contact COA regarding any circumstances without their prior consent in writing.
Detailed Information
Detailed information and/or circumstances and issues provided to the Condo Owners Association by a single person/or multiple persons are used to fulfill the scope of Mission Statement. COA may use information provided to monitor and review issues relating to condominium owners, condominium buildings, condominium townhouses and Board of Directors and/or any other information provided relating to the mechanism and working environment of condominiums. COA may use it to provide a member with information he/she/they have requested and which may be of interest to the member and also the following:
- New information on COA
- Any and all Professional developments of COA
- Courses and educational seminars
- Governmental announcements of related condo interest
- Newsletters, updates and/or bulletins and announcements

You need JavaScript enabled to view it. and COA will discontinue sending you information other than those you have registered for directly subject. The opt-out policy is subject to human error.
Information usage
Personal information may be shared to distribute emails and/or distribute mailings and to monitor registration to include courses and educational seminars. It is mutually understood and agreed that individual’s information and data can be accessed by Association Directors, employees or contracted companies and related departments. All registrants consent to disclosure of information. Information includes and can be used towards:
- Records of Name, address, phone, fax # and email address
- Correspondence; emails or letters to a registrant, Director or Committee Volunteer
- Credit Card information and/or payment of Registration
Note: Information about an individual may be obtained from the following sources:
- The individual
- The employer of individual
- Physician; lawyer; accountant; professional source
- Government agency or source
Data is obtained through on-line registrations and or could be collected, used, entered and stored onto a secure server by a third party service provider outsourcer where applicable and upon receipt of registration. On occasion COA may contract outside survey consultants to conduct surveys as required but the terms of the contract will be for survey usage only. On-line registration for seminars, conferences, etc. are process through Pay Pal however if COA contracts a third party credit/debit card machine; all transactions are processed securely and account information is retained only by COA and not sold, rented or given to third parties.
Information may be shared
Note: COA may share information under the following circumstances:
- If COA is amalgamated and/or reorganized
- Court order or subpoena
- Police investigation
- subject to COA disgressions
Information will not be shared
Personal information will not be shared and/or distributed to the following:
- Sponsors or Corporate entities of Condo Owners Association
- Other Associations and/or non-profit groups
- Direct mail or other solicitations
COA may publish a sponsorship directory at times and will include Sponsor Company, contact person and information and details of sponsorship and/or benefits available for registrants of COA. Sponsor Company has the right to opt-out of this directory by notification by sending an email to This email address is being protected from spambots. Updating Information
COA will update information from time to time as received. Registrants are advised to provide up-to-date information and/or changes to include cancellations of your registration. If information is inaccurate or incomplete please contact info@COAontario so we may make the required changes.

Access to information is Denied
Access to a request for information would only be denied in the following circumstances:
- COA cannot confirm identity of individuals requesting information
- When the request impacts privacy of other person/s
- If the request is frivolous or malicious
- To protect COA and their rights
